How to Do EPF Withdrawal Online: 5 Steps That Stop Your EPFO Claim From Being Rejected
Step 1: Activate and verify your UAN before anything else
Your Universal Account Number is the single point of failure most people ignore. EPFO's online withdrawal system will not process a claim if the UAN is not activated on the member portal, or if the mobile number linked to it belongs to a previous employer's record and is no longer yours. Log in at unifiedportal-mem.epfindia.gov.in, confirm your UAN status shows "Active", and verify that the OTP during login reaches your current phone. If the number is wrong, update it through your employer's HR, this cannot be done directly on the portal without employer intervention. A dormant or incorrectly linked UAN is the most common reason claims are returned before they are even reviewed.
Step 2: Complete KYC linking, and check that it is approved, not just uploaded
Uploading your Aadhaar, PAN, and bank account details to the EPFO member portal is not enough. Each document must show "Approved" status under the KYC section, not "Pending" or "Verified by Employer." The distinction matters because EPFO cross-checks your Aadhaar data against UIDAI records at the point of claim submission. If your name on Aadhaar has a spelling variation from your EPF account, "Priya" versus "Priya Kumari", or a missing middle name, the system will reject the claim automatically. Correct name mismatches through your employer before filing. Bank account KYC must also show the IFSC code of the branch where the account currently exists; closed accounts or transferred accounts with old IFSC codes will cause payment failure even after claim approval. Check all three documents, Aadhaar, PAN, bank, are in "Approved" status before proceeding.
Step 3: Confirm the minimum service period for the claim type you are filing
EPFO offers several withdrawal forms online, and each carries its own eligibility condition. Form 19 for final PF settlement requires two months of unemployment after leaving the employer. Form 31 for partial withdrawal, medical emergency, home loan repayment, education, requires a minimum of five years of continuous service for most categories. Form 10C for pension withdrawal has its own threshold. Filing the wrong form, or filing the right form before the eligibility period is met, results in rejection with no automatic refund of the claim fee or waiting period. On the online portal, the system will sometimes allow you to submit a premature claim without blocking it upfront, the rejection comes later, after processing. Step 4: Get your previous employer's exit date updated in the EPFO system
If you have changed jobs, your previous employer must have marked your exit date on the EPFO portal. Without a recorded exit date, the system treats you as still employed, which blocks final settlement claims entirely. Many employers delay this update or do it incorrectly. Before filing online, check your service history under the "Member Passbook" section. If the exit date is missing or wrong, raise a grievance through the EPFiGMS portal (epfigms.gov.in) or contact your previous employer's HR directly. This step alone resolves a significant share of rejected claims from employees who left companies more than a year ago but never confirmed the exit was recorded. Do not assume the employer filed it correctly, verify it yourself.
Step 5: Submit the claim only after your PF balance shows the correct amount
The amount you claim cannot exceed what the EPFO passbook shows as your current balance. This sounds obvious, but the passbook updates on a lag, sometimes weeks behind the actual credit, particularly when an employer has delayed depositing monthly contributions. If you file a claim for an amount higher than what the passbook currently reflects, EPFO will reject it for excess claim. Download your passbook from the member portal the day you plan to file, note the exact closing balance, and claim that figure or below. For partial withdrawal under Form 31, the portal will calculate the maximum eligible amount automatically, accept that figure rather than entering a higher one manually. Filing on a Tuesday or Wednesday, when portal traffic is lower, also reduces the chance of a technical submission error being logged as a failed claim.
The five steps look separate, but they all feed the same system check: EPFO's online portal validates UAN status, KYC approval, service eligibility, exit date, and balance in sequence before a claim reaches a processing officer.
